Add transactions to a journal.

A journal entry records a transaction where debits equal credits; usually includes a date and an explanation of the transaction. Use Enter Journal Amounts to record journal entries.

Special keys

Use these keys in Enter Journal Amounts to perform special tasks for you during the current session.

Plus (+) key

Press the Plus (+) key to show a list of previous entries for the current session. You can choose a value from the previous entry list.

Supported fields: Description, Activity, Job Number, Account, and Amount.

Asterisk (*) key

Press the Asterisk (*) key to enter the last value that was entered in the Activity, Job Number, and Amount field.

Quick Date Change

Use these shortcuts to change the date without clicking on the Date field to enter a new date.

Fields that support Quick Date Change: Description, Activity, Job Number, Account, and Amount.

To change the date, enter a decimal followed by two numbers, enter 01 (0.01) to 31 (0.31).

To move the current date forward, press the plus (+) key.

To move the current date back, press the minus (-) key.

Selecting the mode

Use Normal mode to enter amounts as they appear. Use Year-to-Date mode to record the difference between the amount entered and the total year-to-date amount.

In Edit mode, the Mode field will default to Normal mode.

Changing the sign

This is sign given to the amount that you enter as the journal entry amount. If you use Normal mode, and you enter $100.00 in Amount field, Connect will record 100.00. If you choose Reverse mode, and you enter $100.00 in the Amount field, Connect will record -100.00.

Job numbers

This field is active if the Project Accounting interface is set up.

Press the Plus (+) key to show a list of previous entries for the current session. You can choose a value from the previous entry list.

Supported fields: Description, Activity, Job Number, Account, and Amount.

Account

Why can't I add an account?

You can add an account when you enter journal amounts if you have user rights to the Chart of Accounts and the option to Prompt to Add Missing Accounts is selected in the Organization table.

Amount

To enter Calculator Mode, press ALT+C, ALT+C or click the Calculator Mode button. For more information about Calculator Mode, see How do I use Calculator mode?

To enter the amount from the previous entry, press (+).

Note: Turn off Calculator mode to enter the amount using the (+) key.

Split Total

Sum of all transactions with the same reference number.

Journal Total

Sum of all transactions tied to a journal and period.

Create Offset

This button is active when the Journal Total does not equal zero. Clicking the Create Offset button will use the journal total to create the offset transaction.

Entry Total

Sum of all amounts entered during the current session. When you exit, choose a different journal, or change the period, the entry total will reset to zero.

Comments

To start a new line, press CTRL+ENTER.

To select comment on a previous transaction, click Quick Entry . The Quick Entry menu will show the last ten comments for the current journal. To change the number of comments in the menu, update the Options (F12). See the help topic titled Changing the Number of Comments to Display as Comment History.

To view a truncated comment (...) in the Quick Entry menu, hover the mouse over the comment description. The rest of the description will display on the screen.

Transaction grid

Use the Transaction grid to view the transactions that have been created. You can use the Dynamic button to modify, delete, or view a transaction. You can also use the mini-filter button on the column header to search the transactions.

Display all transactions that are tied to the journal code and period.

Modify Journal Amount


Edit the journal amount. This option is only available when the user has user rights to modify journal amounts.

Delete the journal amount.

Click the mini-button to filter the transactions.
