A Notification Cycle determines

  • how often notices about required testing are sent to a customer, and

  • when to shutoff customers who have failed to have the assembly successfully tested.

 

Notices about required testing can be sent multiple times at defined intervals. All customers can receive these notices at the same interval or multiple Notification Cycles can be set up to use different intervals for different customer types.

Notices are sent out according to the specifications set up for each notification. The specifications are based upon the following for each notice type:

  • Install Notices are sent according to the Original Installation Date of the assembly.

  • Testing Notices are sent according to the first day of the Testing Month for the assembly.

 

Add a new notification cycle

Create a new record to save a notification cycle.

Do this...

1. Open Connect Backflow Management > Organization > Notification Cycles.

2. Click New (CTRL+N).

3. Set up the following fields on the Notification Cycle tab:

Notification cycle: Type the name of the notification cycle.

Failed test report form: If a notice will be sent for failed test results, select an Assembly Failed Test Notice. You must set up the Failed Test Form in Organization > Forms, or click the Edit button at the end of the field to make changes to an existing form. A failed test report form is not necessary.

4. Next, add Install Notices and Testing Notices to the notification cycle by clicking on the Install/Testing Notices tab.

By selecting the Include in Shutoff Notices checkbox the notice will then allow for shutoff forms to be selected. To send this notice the Shutoff report should be used instead of the Assembly Install/Testing Notices.

The last notice is usually selected to be included in shutoff notices.

5. Click Save (CTRL+S).

The notification cycle is saved.

Options

Delete a notification cycle

Once a notification cycle has been used to send notices, you will not be able to delete the notification cycle. However, you can change the notification cycle settings to prevent users from selecting it.

Important! You cannot delete a notification cycle if it was used to create and send any install/test notices.

Do you want to stop using a notification cycle?

  • The notification cycle has NOT been used. Use Organization > Notification Cycles to look up the notification cycle to be deleted. Click Delete (CTRL+D).

  • The notification cycle has been used. Use Organization > Notification Cycles to look up the notification cycle. Select a notice from the Install/Testing Notices list. The selected notice is highlighted and the notice properties displays in the right pane. Now, change the Send [ _ ] [ ____ ] After to 0 (zero). It should look like this: Send [ 0 ] [ ____ ] After. Now, change the Send value to zero on every notice listed on the Install Notices and Testing Notices tab.  

Install, testing, or shutoff notices

An install notice is a letter that is sent to a customer who is having an assembly installed at a service address. Likewise, a testing notice is a letter that is sent to a customer when an assembly needs to be tested. And a shutoff notice is sent when service will be shutoff. You can set up the current notification cycle to determine how many notices and what kind of notice will be sent each time.

What do you want to send?

  • Send an install notice. Click Create a New Install Notice. An install notice displays in the Install Notice list. If you'd rather use a different description, change the value in the Description field. Now, set up the options on the Install Notices tab.

  • Send a testing notice. Click Create a New Testing Notice. A testing notice displays in the Testing Notice list. If you'd rather use a different description, change the value in the Description field. Then, set up the options on the Testing Notices tab.

Do you want to send a shutoff notice instead of an install/testing notice?

Usually, more than one notice will be sent to the customer to notify them that an assembly needs to be installed or tested. If the customer fails to respond, you can set up the last notice to send a shutoff notice instead. You'll need the following form layouts to continue: Install Notice, Testing Notice, Shutoff Notice. If you need to create these form layouts, use Organization > Forms.

  • Send an install notice. Clear the option to Include in Shutoff Notices. Use the Form field to select a form layout for printing the install notice.

  • Send a testing notice. Clear the option to Include in Shutoff Notices. Use the Form field to select a form layout for printing the testing notice.

  • Send a shutoff notice. Select the option to Include in Shutoff Notices. Use the Form field to select a form layout for printing the shutoff notice.

Lock/unlock restricted fields

Use Restricted Fields to unlock a locked field. A locked field is disabled, which means users cannot make changes to the field's contents without first unlocking the field. Clicking the Restricted Fields button again will lock an unlocked field.

How do I restrict fields?

You can select which fields to restrict on the entry screen. After the field information is entered, the field is locked and the information in the field is view only. Click Options (F12) and then click the Select button to choose which fields to include on the Restricted Fields list.

How do I lock/unlock restricted fields?

You can lock fields to prevent users from making changes to the field value. A locked field has a gray background. If you need to make changes to a locked field, you can click the Restricted Fields button to unlock the field contents. An unlocked field has a white background and you can edit it.

Make a disabled notification cycle available

Use Organization > Notification Cycles to look up the notification cycle. Select a notice from the Install/Testing Notices list. The selected notice is highlighted and the notice properties displays in the right pane. Now, change the Send [ _ ] [ ____ ] After to a whole number. Repeat this step to change the Send value on every notice that is included in the notification cycle.  

Remove an install/testing notice from a notification cycle

Important! You cannot delete a notice if it was used to create and send any install/test notices.

Do you want to remove an install, testing, or shutoff notice?

  • The install, testing, or shutoff notice has NOT been used. Use Organization > Notification Cycles to look up the notification cycle. Select the notice to delete from the Install/Testing Notices list. The selected notice is highlighted and the notice properties displays in the right pane. Install notices display on the Install Notices tab while testing notices display on the Testing Notices tab. Now, click Delete the Selected Install/Testing Notice.

  • The install, testing, or shutoff notice has been used. Use Organization > Notification Cycles to look up the notification cycle. Select a notice from the Install/Testing Notices list. The selected notice is highlighted and the notice properties displays in the right pane. Now, change the Send [ _ ] [ ____ ] After to 0 (zero). It should look like this: Send [ 0 ] [ ____ ] After.

Use the Send options to determine when to send the notice. Notices are sent out according to the specifications set up for each notification. The specifications are based upon the following for each notice type:

For example, Jane wants to send three install notices to customers when an assembly is installed. She sets up the first install notice to send the first day after the assembly is installed. She sets up the second install notice to send two weeks after the install date. Finally, she uses the options to send a shutoff notice one month after the install date as the third install notice.

When will the install notice be sent? Change the Send [ _ ] [ ____ ] After Install Date options to match the following examples. Replace x with a whole number. Install notices can only be sent after the selected date.

  • Send x days after the install date.

  • Send x weeks after the install date.

  • Send x months after the install date.

When will the testing notice be sent? Change the Send [ _ ] [ ____ ] After Testing Date options to match the following examples. Replace x with a whole number. You can set up the testing notice options to send the testing notice before or after the selected date. While install notices can only be sent after the selected date.

  • Send x days before/after the testing date.

  • Send x weeks before/after the testing date.

  • Send x months before/after the testing date.

Stop fields

A field stop allows you to determine which fields the system will stop at and which fields to skip over. Using Stop Fields can help you streamline data entry by only stopping the cursor at the fields that need information.

How do I turn Stop Fields on/off?

Click Stop Fields once to turn on Stop Fields. The Stop Fields icon appears in the Status Tray. To turn Stop Fields off, click the Stop Fields button again.

How do I manage the Stop Fields list?

Use this option to create a new Stop Field list or set up Stop Fields for individual users. Click the menu, attached to the Stop Fields button on the main toolbar, then click Manage Stop Fields.
