How do I import real property information from a delimited file?

Use a delimited file to create real property records, owners, and billing transactions.

Use a delimited file, a file that uses a character or symbol to mark the end of each field, to import real property information into the application. You can set up the import options to import real properties, owners, and billing transactions.

Before you get started

  • Create an import file that contains the information that you want to import into Property Tax Collection.

  • Back up the database. See the help topic titled .How do I back up a database?

Importing real property information from a delimited file

1. Open Connect Property Tax Collection > Real Properties > Import Real Property Information.

2. Use the Import File Type menu to select Delimited.

3. Enter the Delimiter.

The delimiter is the character the import file uses to separate one field from another field.

4. Enter the Import filename.

The routine uses the import file to fill in the section titled Import File Fields.

5. Enter the Lines to Skip.

Does the import file include a header row? If it does include a header row, enter the number of rows in the header row. Connect will not create a record for the skipped rows.

6. Use the Print menu to an output option.

You can use the option Report Only to process a "test" file to see if the settings that you are using to process the import file will import the information correctly.  

What do you want to do?

  • I want to print a report without creating new records. Use the Print menu to select Report Only.

  • I want to print a report and create new records. Use the Print menu to select Report.

  • I want to create new records without printing a report.  Use the Print menu to select No Report.

7. Set up the checkbox titled Import New Real Properties.

Use this option when the import file has new information to add to an existing real property record.

Do you want to import new fields from the import file to existing real property records?

  • Yes, import new fields from the import file to existing real property records. Click to select the checkbox titled Import New Real Properties.

  • No, do not import new fields. Click to clear the checkbox titled Import New Real Properties.

8. Select the Taxing District.

Use the taxing district assigned to the real property in the import file or select the taxing district to assign to imported real property records.

What do you want to do?

  • I want to use the taxing district from the import file. Use the Taxing District menu to select Use Imported Value.  

  • I want to assign the taxing district. Use the Taxing District menu to select the default taxing district.

9. Set up the checkbox titled Update Existing Real Properties.

Look for real property records in application that match the real property records in the import file and then replace the values in application with the information in the import file.

What do you want to do this?

  • Use import file to update values in real property records in Property Tax Collection. Click to select the checkbox titled Update Existing Real Properties.

  • Do not use the import file to update values in the real property records in Property Tax Collection. Do not select the checkbox titled Update Existing Real Properties.

10. Set up the checkbox titled Import New Owners.

Use the new owner records in the import file to create new owner records in Property Tax Collection.

What do you want to do?

  • I want to create new owner records for the new owners in the import file. Click to select the checkbox titled Import New Owners. Choosing this option will also import the owner's mortgage company information.

  • I do not want to create new owner records for the new owners in the import file. Do not select the checkbox titled Import New Owners.

11. Set up the checkbox titled Update Existing Owners.

Look for owner records in the application that match the owner records in the import file and then replace the values in the application with the information in the import file.

What do you want to do?

  • Use import file to update values in owner records in Property Tax Collection. Click to select the checkbox titled Update Existing Owners. Choosing this option will also import the owner's mortgage company information.

  • Do not use the import file to update values in the owner records in Property Tax Collection. Do not select the checkbox titled Update Existing Owners.  

12. Set up the checkbox titled Import Billing Transactions.

Use the billing transactions in the import file to create billing transactions for real property records in the application.

What do you want to do?

  • I want to import billing transactions for the real property records imported from the import file. Click to select the checkbox titled Import Billing Transactions.

  • I do not want to create billing transactions for the real property records in the import file. Do not select the checkbox titled Import Billing Transactions.

13. Find the section titled Import File Fields.

The Import File Fields table displays the first record from the import file in the Data column. The names of the fields in the Type column are the names of the fields that the application will use to record the imported payment. Make sure the value in the Data column matches the corresponding column name listed in the Type column. You may need to rearrange the names in the Type column.

14. Use the drop-down list to select the field title in the application that matches the information contained in that field in the import file.

15. Click GO (CTRL+G).

Property Tax Collection imports the real properties from the delimited file and assigns the default settings to the imported values.
