How do I update period end?
The Update Period End routine closes the current period so users will not be able to enter changes to periods that occur prior to the restriction date.
Warning! Updating the period end will prevent users from entering changes to the Materials Management database on or before the new restriction date.
Update the period end
Running the Update Period End routine will close the current period and update the restriction date to include the period that was closed. Users will not be able to make changes to data in the Materials Management application.
Do this...
1. Open Connect Materials Management > Organization > Update Period End.
The current period end date is displayed.
2. Enter the New Restriction Date field.
The New Restriction Date is the last day of the next month. This date is based on the date stored in the Restriction Date field in the Organization table.
Is the correct date in the New Restriction Date field?
Yes, the date is correct. Continue to the next step.
No, the date is not correct. Click on the New Restriction Date field, then type in a new MM/DD/YYYY. The new date must occur after the Current Restriction Date.
3. Click GO (CTRL+G).
The period end is updated.
Open a closed period
When a period is closed the only way that you will be able to enter data or make changes to data in a closed period is to re-open the closed period. You can re-open a closed period by changing the Restriction Date in the Organization table to a date that occurs before the date on the transactions that you wish to edit.
Important! Re-opening a closed period includes completing the Monthly Checklist again.
Step 1: Change the restriction date
1. Open Connect Materials Management > Organization > Organization.
2. Click on the Restriction Date field.
3. Type in a date that occurs prior to the date on the transactions that need to be updated.
4. Click Close (CTRL+F12).
The Restriction date is updated.
Step 2: Edit the transaction
Use the routines in Materials Management to update the transaction.
Step 3: Complete the Monthly Checklist
Since changes have been made to a closed period, you'll need to complete the Monthly Checklist again to close the period.
Why is this important? Completing the checklist will ensure the period is closed correctly and the Restriction Date is updated to the current period end date.
