How do I print a finance worksheet? (2023.11)

Reports 

Print a financial worksheet to compare actual amounts and budget amounts. You can choose to include the following account types:

  • Balance sheet account types

  • Revenue types

  • Expenditure types

 

When it's time to work on a budget, use the finance worksheet to print out the actual amounts and budget amounts so you can have the information you will need to estimate the budget amounts for a future year.

The finance worksheet was updated in the 2023.08 release.  

 

Before you get started

  • If this is the first time printing a finance worksheet, you will need to set up at least one calculated column. [More]

 

Printing a finance worksheet

1. Open Connect General Ledger > Reports > Finance Worksheet. 

2. Select Finance Worksheet - by Account Number [Caselle Master] as the report definition. 

3. Click Print (CTRL+P). 

 

Adding a report column 

1. Open Connect General Ledger > Reports > Finance Worksheet. 

2. Click to select the Columns tab. 

3. Click .

4. Add at least one calculated report columns. 

You can tell which report columns calculate an amount because the report column description starts with [Calcuated]

Troubleshooting

Error: At least one calculated column must be set up. 

Issue: The worksheet cannot print with the existing setup. 

Solution: You need to add the report columns that you would like to see printed on the report to the Columns tab. [More

 

 

Options

Accounts to include

Set up the selection criteria for selecting accounts. 

Accounts to include

Select the accounts to include in the report. 

  • Use All to include all accounts in the chart of accounts.

  • Use With a Zero Balance to limit the account summary to show only accounts that have neither a positive or negative balance.

  • Use With Balances to only include accounts that have a positive or negative balance.

  • Use With Balances and Activity to include only accounts that have a balance and have transactions recorded during the report date range. 

  • Use With Balances or Activity to include only accounts that have a balance or have transactions recorded during the report date range.

 

Include pending amounts

Include accounts with amounts pending approval. These are amounts that have been submitted and waiting for approval.

Print grand totals

Total the accounts included on the report and print the account total. You can print grand totals by account type, print grand totals for revenues and expenditures, or both.

  • Yes, print grand totals. Click to select Print Grand Totals checkbox.

  • No, do not print grand totals. Click to deselect Print Grand Totals checkbox.

If you will print grand totals, which grand totals do you want to print?

  • Print grand totals by account type. Click to select By Account Type.

  • Print grand totals for revenue and expenditure accounts. Click to select With Revenue and Expenditure Totals.

 

Print amounts with actual sign

The actual sign is the positive or negative sign that is assigned to the amounts for revenue and expenditure accounts.

Example: If Jane imports amounts that are tied to a revenue account, the system will import amounts as credits. Likewise, if Jane imports amounts for expenditure accounts, the system will import amounts as debits.

Do you want to use the actual sign on the account to print amounts?

  • Yes, use the actual sign to print amounts. Click to select Print Amounts with Actual Sign. Any account with a normal balance of credit will print as a negative number. 

  • No, use the normal sign to print amounts. Click to deselect Print Amounts with Actual Sign. Any account with a normal balance of credit will print as a positive number. 

 

Print notes

Add account notes, budget notes, or both to the report.

Do you want to add a section to print notes on the report?

  • Yes, print notes. Use the Additional Options tab to select the Print Notes checkbox. Use the options in the Print Notes drop-down list to choose where the notes will print on the report: at the end of the report, after the account prints, or in a separate column.

  • No, do not print notes. Use the Additional Options tab to deselect the Print Notes checkbox.

 

Which notes do you want to include?

  • I want to print account notes. Click to select Print Account Notes. This is any note that is saved in the Account Notes tab (Organization > Chart of Accounts).

  • I want to print budget notes. Click to select Print Budget Notes, and then select the budget year(s) to include. This is any note that is saved in the Budget Notes tab and assigned to a budget year (Organization > Chart of Accounts). 

  • I want to include general notes.   A general note is any note that is saved on the Budget Notes tab in the General box (Organization > Chart of Accounts).

 

Report dates

Select transactions by transaction date. The report will only include transactions with a transaction date that falls in the report date range.

Do you want to use the current period as the report date range?

  • Yes, I want to use the current period. This is the default setting. 

  • No, I want to use a different period. Click the calendar button to choose a different starting or ending date. Use the arrow buttons to move the date forward or backward. To change the date type to select a quarterly period, yearly period, or custom period, click Advanced Options. 

 

Show only grant accounts

You can use the finance worksheet to review grant accounts. This option is available when grant accounting is set up in the General Ledger application. [More]

Do you want to limit the report to grant accounts?

  • Yes, include only grant accounts. On the Additional Options tab, click to select Show Only Grant Accounts. Then, use the Grant Numbers field to fill in the grant numbers.

  • No, include regular accounts and exclude grant accounts. Click to deselect Show Only Grant Accounts.
