What's a Frequency?

A frequency is the number of repetitions of a process during a unit of time. For example, once each month, once each quarter, and once a year are examples of commonly used frequencies.

Use Frequencies to set up and maintain frequencies for calculations for license renewal. Attaching a frequency to a license renewal record allows you to determine how often a license is renewed, or calculated. Many examples of how to set up Frequencies have been provided since the available options support a substantial degree of flexibility.

 

Important! Business Tax Collection and Business License share the Frequency table. Any changes made to the Frequency table in one program will affect all of the transactions tied to the frequency in Business Tax Collection as well as Business License. When in doubt, adding a new frequency will ensure none of the transactions that use the existing frequency will be modified.

 

Adding a frequency

1. Open Connect Business Tax Collection > Organization > Frequencies.

2. Click New (CTRL+N).

3. Enter the Frequency.

A title is a descriptive name given to a frequency. Use Frequency to enter a name or number.

4. Select the frequency.

5. Click Save (CTRL+S).

The record is saved.

 

Changing a frequency

1. Open Connect Business Tax Collection > Organization > Frequencies.

2. Use the Lookup bar to enter a frequency name. Press Enter.

3. Next, change the frequency properties.

4. Click Save (CTRL+S).

The updated frequency is saved.

 

Deleting a frequency

1. Open Connect Business Tax Collection > Organization > Frequencies.

 

You cannot delete a frequency if related transactions exist.

 

2. Use the Lookup bar to enter a frequency name. Press Enter.

3. Click Delete (CTRL+D).

The frequency is deleted.

 

Options

Daily

Daily refers to a transaction that occurs every day, or every 24 hours. Use Every [ _ ] Days to enter the number of days between each transaction.

Example: Jane needs to set up a frequency that calculates every day. Jane would enter 1 in this field.

Frequency

A title is a descriptive name given to a frequency. Use Frequency to enter a name or number.

Monthly

Monthly is a transaction that occurs once every month.

Use Day [ _ ] of Every [ _ ] Months to enter a specific day in each month and the number of months between each transaction.

Example 1: Jane needs a frequency that calculates on the 5th day of the month. She would select Monthly, then Daily, and enter 05 as the DD, and 1 as the MM.

Example 2: Jane wants the frequency to calculate on the 5th day of each quarter. She would select Monthly, then Daily, and enter 05 as the DD, and 3 as the MM. She would use the number three (3) because there are four quarters in a year.

Use The [ _ ] [ _ ] of Every [ _ ] Months to enter a day in relation to the weeks in a month and the number of months between each transaction.

Example 1: Joe needs a frequency that calculates on the first Monday of every month. He would select Monthly, then The [ _ ] [ _ ] of every [ _ ] months. He would select First, Monday, and type 1 into the last field.

Example 2: Joe also needs a frequency that calculates on the last day of every quarter. He would select Monthly, then The [ _ ] [ _ ] of every [ _ ] months. Next, he would select Last, Day, and type 3 into the last field.

Example 3: Jack wants a frequency that calculates twice a year at the end of the month. He would select Monthly, then The [ _ ] [ _ ] of every [ _ ] months. Now, he would select Last, Day, and type 6 into the last field.

Never

Use Never on frequencies that you will only calculate manually.

Weekly

Weekly is a transaction that occurs once every week, or every 7 days. Use Every [ _ ] Weeks to enter the number of weeks between transactions.

Example 1: Jane needs to set up a frequency that calculates once a week so she selects Weekly and enters 1 in this field.

Example 2: Joe wants to set up a frequency that calculates every other week so he selects Weekly and enters 2 in this field.

Yearly

Yearly is a transaction that occurs once a year, or every 365 days.

Use Every [ _ ] [ _ ] to enter a specific date in a specific month.

Example 1: Jack wants to set up a frequency that calculates on January 1 each year. He would select Yearly, then click Every [ _ ] [ _ ]. Then he would select January and type 1 into the final field.

Use The [ _ ] [ _ ] of [ _ ] to enter a day of the week in relation to the weeks in a specific month.

Example 1: Jane wants to set up a frequency that calculates on the first Monday in the month of January. She would select Yearly, then click The [ _ ] [ _ ] of [ _ ]. Now, she would select First, Monday, and January.
