How do I upload a report to an FTP server?

Upload a report created in Connect to an FTP server. File Transfer Protocol (FTP) lets you upload and download files from a server. That means you can use different computers to access files that are shared on the FTP server. 

The FTP Interface is one more way you can share a report from a Connect application with another person or business. For example, City ABC uses a third party bill provider to print utility bills. Every month City ABC uses an FTP server to send the utility bills to the bill provider. The bill provider downloads the file from the FTP server and then uses the information from the utility bill file to update the information on the bill providers online payment portal so City ABC's utility customers can use the online payment portal to view the updated utility balance and pay their utility bill. City ABC likes using the FTP site because they don't have to attach the billing information to an email and send it through email to the bill provider.

Uploading a report to an FTP server is for anyone who uses an FTP server to share report information with a third party.

This routine is available in the 2023.05 release for reports that have been updated to the new report base. Reports that use the new report base have a white background instead of a gray background. 

 

Before you get started

  • Set up the FTP server in System Management. [More] The option to upload to file will be disabled if the FTP server is missing. 

 

Uploading a report to an FTP server 

1. Open a report. 

 Only reports that have been updated to the new report desginer will include the option to upload file to an FTP server.  

2. Set up the report options.

You may need to refer to the report instructions to set up the report. 

3. Click to select the Print Settings tab.

4. Click to select the Save As checkbox.

5. Click to select the Save As tab.

6. Use the Save As Type menu to select the output format. 

Choose the output format that you want to save to the FTP site.

  • Excel

  • Excel 97-2003

  • HTML

  • Image

  • MHTML

  • PDF

  • RTF

  • Text

  • XPS document

 

7. Enter the file name. 

If you're uploading a file to an FTP site for a third-party provider, you may want to check with the third-party provider to see if there are any file naming standards they wish you to follow.

8. Click to select the Upload File to [FTP Site] checkbox and then select the FTP site from the menu.

9. Click Print (CTRL+P) or Print Preview (CTRL+Q). 

You will receive a confirmation message when the file is uploaded to the FTP site. 

 

Error: File Not uploaded

When I use Print or Print Preview to upload a file to an FTP site, the File Not Updated error displays on the screen. This error means there's a problem with the FTP credentials or with the internet connection and the file was not uploaded to the FTP site. 

 

To troubleshoot this error, try these things:

  • Make sure Connect is connected to the internet.

  • Look for typos in the FTP Interface properties. 

  • Verify the user name and password are correct.

  • Make sure the FTP Interface properties that have been selected are the right properties for the FTP site. 

  • Contact the FTP site administrator to make sure the properties that you are using to set up the FTP Interface are correct.
