Other GL Accounts

This is a list of the fields you'll find in the Other GL Accounts table.

Account type

There are five account types: Asset, Equity, Expenditure, Liability, and Revenue.

Asset: An asset account records economic resources that are owned or controlled by an organization.

Equity: An equity account reports the residual claim or interest that remains after liabilities are paid.

Expenditure: An expenditure account records the disbursement of income.

Liability: A liability account reports obligations that represent amounts owed to creditors, governments, employees, and other parties.

Revenue: A revenue account records increases in a company's resources from the sale of goods and services.

Which account type is this account?

  • Asset account. Use the Account Type field to select Asset.

  • Equity account. Use the Account Type field to select Equity.

  • Expenditure account. Use the Account Type field to select Expenditure.

  • Liability account. Use the Account Type field to select Liability.

  • Revenue account. Use the Account Type field to select Revenue.

Account number

An account number is the primary identifier for an account. An account is an accounting record that shows increases, decreases, and a balance. A partial account allows you to substitute a variable, for example, OOO (object) for a specific portion of an account number.

What is the account number?

  • Enter a complete account number. Use the Account Number field to key in the entire GL account.

  • Enter a partial account. Use the Account Number field to key in the partial GL account.

Account number digits

The Account Number Digits stores the number of digits in the account. If you need to change the value in the Account Number Digits field, contact customer service for assistance.

Balance sheet, revenue, and expenditure masks

A mask is variable that tells the system how to format a number.

This is a set of commonly used masks:

  • Balance sheet mask: FF-AAAA

  • Revenue mask: FF-SS-RRR

  • Expenditure mask: FF-DD-OOO

Each letter represents an account code.

  • A: Asset

  • D: Department

  • F: Fund

  • O: Object

  • R: Revenue

When you create a mask, each letter represents one digit.

  • A: This is a single digit.

  • AA: This is a two-digit code.

  • AAA: This is a three-digit code, and so on.

Use the account codes from the third party general ledger to set up the account masks in Other GL Information. Make sure the masks in Other GL Information match the masks that are set up in the third party general ledger.

Formatted account number

Use the Formatted Account Number to determine how the account number will be displayed on the screen.

Do you want to format the account number?

  • Yes, format the account number. Use the Formatted Account Number field to enter the account number exactly as it will appear on the screen. You can use numbers, characters, and symbols to format the account number.

  • No, use an unformatted account number. Leave the Formatted Account Number field blank.

Title

The account title is the name of the account.

What is the title?

  • Use the Title field to enter an account title.
