Checklist glossary

These fields are located on the Manage Checklists form. The fields are listed in alphabetical order.

Checklist name

A word or phrase that describes the character or features of the checklist. Example: Cash Receipting

Group

A group is a subset of tasks within a checklist. For example, if the Cash Receipting is the checklist, then Daily is a group, and Enter Payments is a task.  

Electronic checklist group

Name

A word or phrase that describes the character or features of the group. Example: Daily

Start date

Use the start date to define when the group status is active.

Occurs

Define the number of times a task repeats during a given period.

Task

A task is a job for someone to do. Use these options to define the task properties.

Description

A word or phrase that describes the character or features of the task. Example: Enter Payments

Require this task

Use this checkbox when a task needs to be completed before the checklist can be completed.

Information only

Use this checkbox when the task contains instructional text. Instructional text provides directions for completing a task that does not involve running a Connect application. The Information Only task will display in the checklist as black text.

Electronic checklist

Run a menu item when the task is selected

A menu item is a routine or report in Connect applications. Use this option to create a shortcut for opening the routine or report to complete a given task. Tasks linked to a menu item display in blue, underlined text.

Run another program, launch a file or URL, when the task is selected

You can also set up a task to open another program, such as Microsoft Excel or a third-party application, execute a file (.docx, .pdf., .gif, and so on), or launch a URL (www.irs.gov, www.yourcity.org, and so on). Like tasks associated with a menu item, a task that runs another program, file, or URL will also display in blue, underlined text.

Target

The path and directory to the application or file on a workstation or server. Example: c:\program files\word.exe

The internet address of the URL Example: www.anycity.org

Start in

The path and directory to the application data. Example: c:\data\database.dbs. If the application data is located in the same directory as the Target, leave this field blank.

Notes

Use this field to add a comment or detailed instructions for completing the task.
